Executive Assistant

Principal Function
The Executive Assistant will assist with the daily operations of the office, which includes performing secretarial, bookkeeping, and receptionist duties.


  1. Act as receptionist (greeting clients and answering the telephone)
  2. Provide general clerical support including filing, typing, photocopying, etc.
  3. Perform desktop publishing tasks, such as brochures, booklets, etc.
  4. Prepare and mail correspondence as needed
  5. Assist with monthly invoicing
  6. Create, organize and maintain databases of active, inactive, and ‘dead’ files
  7. Create, organize and maintain databases of incoming and active projects
  8. Gather materials to be filed from employees and identify materials
  9. Track materials removed from files to ensure items are returned to proper locations
  10. Physically move and store materials from active projects to inactive archive storage
  11. Assist with conversion of physical files to electronic files
  12. Assist with project administration including pay requests, shop drawing review, etc.
  13. Prepare data for online reporting of wastewater treatment systems per government agency guidelines
  14. Perform other duties as assigned by Supervisor
